Overview
A space people avoided had become a space people couldn’t stop using.
Miller Insurance’s Town Hall was originally designed in 2014 and retrofitted for Microsoft Teams video conferencing over the years. With a 120-person capacity, the space had become central to how the business communicated, but the legacy technology could no longer meet the demands of modern hybrid meetings. The COVID-19 pandemic made that gap impossible to ignore.
IUF was brought in to transform the space into a reliable, user-friendly environment equipped for seamless hybrid meetings, adaptable to multiple layouts while maintaining exceptional quality and ease of use for everyone in the room and joining remotely.
The project ran for approximately three and a half months, from initial design through to installation, final adjustments, and testing, resolving all issues to meet Miller’s standards for performance and reliability.
The result: monthly bookings increased from 16 to 22. Users rate the room 5 out of 5. And the success of the Town Hall led Miller to bring IUF in to support 33 existing meeting rooms, plus the installation of two more.
Journey & Experience
Walk into any room, pick up where you left off
Before the upgrade, people were hesitant to use the room and unaware of its potential. The goal was to remove that friction entirely — so that any user, regardless of technical confidence, could run a session without support.
The format ecosystem is built for the space:
- Shure Ceiling Microphones – replaced outdated handheld microphones, significantly improving audio capture and user convenience, with voice-lift functionality when the room is used to full capacity
- Gooseneck microphone upgrades – enhancing speaker audibility during sessions
- Q-SYS Core – bringing all audio together with flexible programming and commissioning to deliver the highest quality audio both in-room and to remote participants
- NC Network cameras with automatic tracking – integrated with the Shure ceiling microphones to ensure all in-room participants and presenters are captured seamlessly at key moments, fully engaging remote attendees
- Barco ClickShare – enabling seamless content sharing during meetings
- Crestron Flex Video Conference System – providing robust and flexible video conferencing within the Teams environment, with BYOD capability
- Q-SYS Ecosystem Network Video Endpoint and Netgear AV Line Switch – ensuring smooth network operations and high-quality video distribution throughout the space

Implementation
Three and a half months from design to completion, executed with precision throughout.
Phase 1 – Design and Specification
- Consulted with Miller stakeholders on use cases and requirements
- Solution designed for immediate needs with room to expand
- Technology stack confirmed: Shure ceiling mics, Q-SYS Core, NC cameras, Barco ClickShare, Crestron Flex
Phase 2 – Installation and Testing
- Outdated equipment removed and replaced
- Installation completed cleanly, room left spotless
- Final adjustments and testing completed to meet Miller’s performance standards
Phase 3 – Handover and Expansion
- Drop-in demos delivered, sufficient for full staff adoption
- Miller subsequently brought IUF in to support 33 existing rooms and install two more
